About this template
A cash sale receipt is the seller's contemporaneous record that a payment was received in exchange for goods or services. Per IRS Publication 583, businesses must keep "documentary support" for income — a sequentially numbered, dated receipt is the canonical proof. For the buyer, the receipt is the basis for warranty claims, returns, and (for business buyers) deductible-expense documentation. Include: seller business name + address, receipt number, date, buyer name, itemised goods/services, subtotal, sales tax (if applicable), total, payment method, and a signature line for the seller.
When to use it
- Cash sales at a farmer's market, pop-up, or in-person event
- Person-to-person sales (yard sale, private goods sale) where the buyer asks for proof of payment
- Cash service-call payments (locksmith, repair, tutoring) where invoicing-then-paying would be inefficient
- Any cash transaction over $75 — IRS treats receipts as the default audit-survivable evidence
What to include
- Sequential receipt number for your records (audit trail)
- Seller name + address (or business name + tax ID for B2B)
- Buyer name
- Date of sale
- Itemised list with quantity, unit price, line total
- Subtotal, sales tax (if applicable), total
- Payment method (cash / check / money order)
- Seller signature line

If your state taxes the category of goods or services and you have sales-tax nexus (typically a physical location or significant economic activity in the state), yes — even on a cash sale. The buyer's use of cash does not exempt the transaction from tax. OR, MT, NH, DE, and AK (mostly) have no state sales tax; everywhere else you must collect and remit if registered.
