About this template

A rent receipt seems trivial until a tenant disputes a payment, applies for housing assistance, or files a tax deduction. A receipt is the landlord's proof that money was credited correctly and the tenant's proof that they paid on time. Several states (notably Maryland and Massachusetts for cash payments, and New York for any tenant who requests one) legally require landlords to issue rent receipts on demand. Even where not required, providing receipts automatically โ€” especially for cash and check payments โ€” protects both sides from accounting errors and fraud. The most useful receipts include the period covered (so partial-month and pro-rated payments are unambiguous), the payment method and reference number (so the receipt links to the bank record), and a running balance line (so any past-due amount is visible). Online payment portals usually issue these automatically; landlords accepting cash or check should have a numbered receipt book or a digital template.

When to use it

  • Any cash or money-order rent payment.
  • Any tenant request for a receipt (often required by law).
  • Tenants applying for housing assistance, immigration support, or loans.
  • After accepting a partial payment to keep both sides clear on what is still owed.
  • Annual record-keeping for landlord tax filings.

What to include

  • Receipt number (sequential) and date.
  • Tenant and landlord names; property address.
  • Period covered (start and end of the rental month).
  • Payment method and reference number.
  • Prior balance, amount received, and balance remaining.
  • Landlord signature or authorised agent.

Frequently asked

It depends on the state. Maryland and Massachusetts require receipts for cash payments; New York requires one when the tenant asks; many other states require one for any cash or money-order payment. Even where not required, issuing receipts is a recommended best practice and prevents disputes.
