About this template

A contractor estimate is the starting point of a project — it sets the buyer's expectations and is the basis for a binding written contract that follows. In most US states, written estimates are required by law for home-improvement work above a threshold (CA: $500; NY: $500; MA: $1,000), and the contractor's license number must appear on the document. Itemise labor and materials separately: this lets the customer compare quotes meaningfully (some quotes hide labor margin inside the materials line) and protects you if material costs change — most estimates include a "material prices subject to change" clause for volatile categories (lumber, copper, drywall). Always state a validity period (30 days is typical) so you are not bound forever to a price you quoted before a supplier increase.

  • Home-improvement work where written estimates are required by state law
  • Any project >$500 — gives the client a clear bid + you a paper trail
  • Project-based service work (consulting, design, legal scoping) where you bid for fixed price

Frequently asked

For simple residential estimates, no — industry convention is free estimates. For complex jobs requiring engineering or design work (architectural drawings, structural calcs), yes, but disclose the estimate fee upfront and apply it to the contract price if the customer accepts. CA Bus. & Prof. Code §7159 specifically prohibits a home-improvement contractor from charging an estimate fee that is not disclosed before the estimate is given.
